We treat your financial data with the same rigor you use to vet a deal. Here is how we protect your firm.

  • We Only Collect What We Need: We access your QuickBooks Online and Google Drive solely to perform bookkeeping, reporting, and tax prep.

  • We Access Only What We Need: We access your QuickBooks Online through the Accountant Access, never directly through your personal login. We access your Google Drive through shared folder permissions. We will never ask for your direct log in.

  • Security First: We enforce Multi-Factor Authentication (MFA) across all platforms. We do not store your passwords.

  • No Data Selling: We never sell your portfolio data, contact info, or financial performance metrics to third parties.

  • Your Data, Your Control: You retain ownership of your records. If you ever leave our firm, we provide a clear offboarding path for your data.

  • We utilize "Accountant Access" within QuickBooks Online and shared folder permissions in Google Drive. This allows our team to work on your books without you ever having to share your primary login credentials or passwords.

  • Access is restricted on a "need-to-know" basis. Only the specific bookkeepers and account managers assigned to your portfolio have access to your Drive and QBO files. All staff members undergo background checks and sign strict confidentiality agreements.

  • No. Your financial data is used exclusively to provide the services outlined in your Scope of Work. We do not aggregate your data for market research or sell "investor insights" to third-party lenders or real estate firms.

  • We follow a No-Email-Attachment policy for sensitive documents like EINs or Tax Returns. All file transfers occur within your encrypted Google Drive environment or via secure portals to ensure your data is never "sitting" unencrypted in an inbox. All receipts are uploaded directly by you into QuickBooks Online to stay secure.

  • Upon termination of our agreement, we revoke our access to your QBO and Drive.

    We retain only the records required by law (for tax and audit purposes) for a period of 7 years, after which they are securely purged.

Our Security Standards

  • We NEVER ask for your master passwords.

    If someone claiming to be The REI Ledger is asking for your master password….

    1) Tell them you need time to find it and end the conversation.

    2) Call the CEO, Cyi Taiga, directly at 307-222-9242.

  • We access your books via the "Manage Users" feature in QuickBooks Online. This ensures you remain the "Primary Admin" and can revoke our access at any time.

  • Every member of our firm is required to use Multi-Factor Authentication (MFA) to log into our workstations and your software. This provides an extra layer of protection against unauthorized access because a bad actor can not simply use public data leaks.

  • By using Google Drive for document storage, your files are encrypted both "in transit" (while being uploaded) and "at rest" (while sitting on the server).

  • To prevent data leaks, we avoid sending sensitive financial documents via standard-email or mail.

    • Secure Portals Only: All bank statements, tax documents, and closing statements must be uploaded to your designated secure Drive folder.

    • Encrypted Links: When we share reports with you, we provide secure links rather than attaching raw files that could be intercepted in an email chain.

    • Background Checks: Every employee at The REI Ledger undergoes a comprehensive background screening.

    • Clean Desk Policy: Our team operates in a secure environment where sensitive client information is never printed or stored on local, unencrypted hard drives.

    • Audit Logs: Both QBO and Google Drive maintain detailed "Audit Logs." We can see exactly who accessed what and when, providing full transparency for your records.
